Australia guide · Sponsor papers · 5 min read
Sponsor documents for an Australia student visa from Nepal, paper by paper.
If someone else pays for your studies, Home Affairs needs to see three things for each sponsor: that they're related to you and why they're paying, that they really have the money, and that their income explains it. From Nepal that usually means a ward office relationship certificate, 3 years of tax clearance, income papers or a CA's income source report, bank statements, and a property valuation if land backs a loan.

The short version
- For every sponsor: relationship proof, money proof and income proof. One missing leg and the file reads as unexplained money.
- Income from a business needs PAN or VAT registration, 3 years of tax clearance and usually a CA's income source report.
- Land backing a loan needs a valuation by a bank-listed valuer and the land ownership certificate (lalpurja).
- Get the relationship certificate from your ward office early; officers use it to link you to every name on the money papers.
- Dates must agree: the CA report, tax papers and bank statements should tell the same income story for the same years.
Three questions the officer asks about every sponsor
An Australian officer reading your money file isn’t counting rupees. They’re asking three questions about each person paying for you:
- Who is this, and why are they paying? The relationship, on paper.
- Do they really have the money? Bank statements, fixed deposits or a loan.
- Could they have earned it? Income records that explain the balance.
A strong file answers all three for every name. A refused file usually answers the second and skips the third.
The papers, one by one
| Paper | What it proves | Where to get it in Nepal | Typical time |
|---|---|---|---|
| Relationship certificate (nata pramanit) | How you’re related to each sponsor | Your ward office, with citizenship copies of both of you | 1 to 3 days |
| Bank statement, 6 to 12 months | The money’s history, not just today’s balance | The sponsor’s bank | Same day |
| Bank balance certificate | The balance on one date, in NPR and often AUD | The sponsor’s bank | Same day |
| Tax clearance certificate, 3 years | Income that reached the tax system | Inland Revenue office, or online through the taxpayer portal | Days to 2 weeks |
| PAN or VAT registration | That the business exists and is registered | Inland Revenue office (copy the certificate) | Already held |
| CA income source report | A summary of income over recent years | A chartered accountant registered in Nepal | 1 to 2 weeks |
| Salary certificate and slips | Employment income | The employer’s HR or accounts office | Days |
| Land ownership certificate (lalpurja) | Property behind a loan, or behind savings | Already held by the owner; copies from the land revenue office | |
| Property valuation report | What the land is worth | A valuer listed with the lending bank | 1 to 2 weeks |
| Loan sanction letter | That the bank has approved the loan | The lending bank | 2 to 6 weeks for the whole loan |
| Rental agreements and receipts | Rental income | Tenant agreements, bank deposits | |
| Agricultural income certificate | Farm income, often untaxed | Ward office or municipality | Days |
Business income: the most common gap
Many Nepali families earn from a shop, a transport business, a contractor firm or a farm. The money is real. The problem is that it often never reached a tax record, and an officer can’t accept income they can’t see.
What a business sponsor’s file needs:
- PAN or VAT registration of the business
- Tax clearance for 3 years, with the declared income
- Audited accounts or the tax return for the same years
- A CA’s income source report pulling it together
- Bank statements where the business income lands
If the declared income is Rs 4 lakh a year and the savings are Rs 60 lakh, the file has a hole. Fill it with something real (a land sale deed, a matured fixed deposit, other family income) or don’t use that sponsor.
From our files. Sushmita Gurung from Pokhara was refused twice through another consultancy, both times on financial evidence: her father’s hardware shop income showed in the bank but not in any tax record. We rebuilt the file with three years of tax-cleared income, a CA’s income source report, the shop’s PAN registration and a one-page sponsor letter. Approved in 23 days.
Land and loans
If land backs an education loan, the officer wants to see the chain from the land to the money:
- Lalpurja (land ownership certificate) in the sponsor’s name
- Valuation report from a valuer the bank uses, with the date
- Loan sanction letter naming you or your sponsor, the amount and the purpose
- Disbursement record, if the loan has been paid out
A valuation alone isn’t money. Land you own but haven’t borrowed against can explain how a family built savings, but it can’t be shown as funds. The education loan guide compares how Nepali banks lend for study.
The sponsor letter
One page, signed by the sponsor, in plain numbers. It should say:
- Who they are, and how they’re related to you
- What they earn and from what
- How much they’re giving you, for which years
- How they’ll pay year 2 and beyond
It doesn’t need legal language. It needs to match every other paper exactly: same income figures, same years, same amounts.
What makes officers doubt a sponsor
| Pattern | Why it’s doubted | What helps |
|---|---|---|
| A distant relative with a modest income | No reason to pay, no means to pay | Use closer sponsors, or explain with records |
| Savings far above declared income | The money’s source is unexplained | Paper for the extra source, or a smaller, honest amount |
| Several sponsors, each giving a little | Looks like money assembled for the visa | Fewer sponsors with stronger records |
| Papers with different income figures | The story contradicts itself | Reconcile every figure before you lodge |
| Everything dated in the last month | Looks prepared for the visa | Statements and tax papers that go back years |
A clean sponsor file, in order
- Write the money story on one page: each sponsor, their income, how much they give.
- Get the relationship certificate from the ward office.
- Request tax clearance and income papers for 3 years.
- If there’s business income, brief a CA with the tax records and bank statements.
- If there’s a loan, start it now: valuation, sanction, then disbursement.
- In the week you lodge, get fresh bank statements and a balance certificate.
- Read every page against the money story. Change nothing that’s true; explain anything that looks odd.
Our view
Families often ask us to make the money look bigger. We do the opposite: we make it look exactly as big as it is, with every rupee traced. Under Evidence Level 3, a smaller amount that’s fully explained beats a larger one with a gap in the middle.
